ModMed Integration
This article walks you through how to turn on the ModMed (EMA) integration and what changes once it’s connected. You’ll also see the recommended workflow for recording visits and pushing notes (and charges) back into ModMed.
Before you start
- This setup is typically done by a Practice Admin.
- The integration is configured in the web app.
- ModMed may charge an integration fee (often $25 per practitioner). Practices can usually request a short trial period.
Step 1: Get your ModMed integration credentials
To connect subQdocs to ModMed, you need the ModMed integration credentials (URL, key, username, password).
Request access from ModMed support
Use the template below to email ModMed to request access for subQdocs into your EMA account.
Dear Modernizing Medicine API team,
I am requesting API credentials to integrate with subQdocs in my production environment. I would like to have a 3 month delayed billing while we test out the solution and ensure it is going to work with our practice.
EMA url: xxx.ema.md
I need to get the following information:
1) API key
2) API username
3) API passwordPlease ensure that ModMed has allowed API access for both Location Data (to include a “PMSID”) and Inbound Charges.

Retrieve the synAPP credentials from your ModMed admin account
Once ModMed gives you access, do the following steps (you can watch a 1 min video of where to find it here)
- In ModMed, log in as an admin.
- Go to Practice Settings.
- Scroll to Manage synAPPs (near the bottom-right area of the page).
- Find subQdocs in the table.
- Copy the username (often looks like
fhir_xYXyX) and the password.
Step 2: Enter credentials in subQdocs
- In subQdocs (web), open Settings.
- Under Organization, find ModMed (EMA) Integration.
- Enter the values from ModMed:
- URL
- Key
- Username
- Password
- Save your changes.
How to confirm the integration is working
You’ll know the integration is working when you can see your ModMed schedule inside subQdocs. This often takes a few minutes for the initial sync.
- subQdocs will pull patients, providers, and schedules from ModMed.
- The Schedule view will default to Today to avoid loading a large future schedule.
What changes after you connect ModMed
Once ModMed is connected, ModMed becomes the source of truth for scheduling and patient records.
- Patients and schedules are maintained in ModMed.
- Scheduling and patient creation in subQdocs aredisabled to reduce confusion and prevent mismatched records.
Recommended workflow (ModMed + subQdocs)
- In ModMed: Schedule the visit and open the encounter (the encounter must be opened before ModMed will accept a pushed note).
- In subQdocs: Find the scheduled patient and start the recording (Start Visit / Start Transcribing).
- Complete the visit, then stop the recording.
- Review the generated note.
- When ready, click Push to EMA.
What gets pushed to ModMed (and where it shows up)
You can control what information is sent to ModMed from your Settings.
From there, you can:

Choose whether to push only the clinical note or both the note and billing codes

Select which sections of the note are included when syncing to ModMed

- Notes are pushed into the ModMed Notes field for the encounter.
- Medical codes are pushed into ModMed Financial/Bills so your biller can review and approve. In ModMed, billers see these under Pending Inbound Charges.
Important limitations (read this)
- Prescriptions are not currently pushed into ModMed as ModMed will not allow us to automate this task.
- Labs, biopsies, and other orders are not pushed automatically into ModMed. Create these manually in ModMed. If you want a fully AI automated solution, reach out to us support@subqdocs.ai to learn about our full EMR solution.
- To avoid double billing, ensure your biller reconciles charges and workflow steps as part of your internal processes.
